Please read carefully before booking or using our services.

1. Agreement to Terms

By accessing this website, submitting a quote request, or booking any services from AV Rental Miami LLC ("Company," "we," "us," or "our"), you agree to be bound by these Terms of Service. If you do not agree, please do not use our website or services.

These Terms apply to all visitors, clients, and anyone who submits an inquiry or enters into a service agreement with AV Rental Miami LLC.

2. Services Provided

AV Rental Miami LLC provides audio visual equipment rental and event production services in Miami-Dade, Broward, and Palm Beach counties, including but not limited to:

  • Speaker and sound system rentals
  • Wireless and wired microphone rentals
  • LED video wall and projector rentals
  • Event staging, setup, and breakdown services
  • On-site AV technician support

All services are subject to availability and confirmed only upon receipt of a signed agreement and deposit.

3. Reservations, Deposits & Payment

⚠️ Important: Your date is NOT held until a signed agreement and deposit are received. Verbal or email confirmations do not reserve equipment.

Reservations: All equipment reservations are tentative until a signed service agreement and deposit are received. We do not hold dates on verbal or email requests alone.

Deposit: A non-refundable deposit of 50% of the total invoice is required to confirm your booking. The remaining balance is due no later than 72 hours before the event date unless otherwise agreed in writing.

Payment Methods: We accept credit/debit cards, ACH transfer, Zelle, and cash. A 3% processing fee applies to all credit card payments.

Late Payment: Balances not paid within the agreed timeframe may result in cancellation of your reservation without refund of your deposit.

4. Cancellations & Refunds

All cancellations must be submitted in writing via email to [email protected]. Phone cancellations are not accepted.

5. Equipment Use & Client Responsibilities

The client is responsible for the equipment from the time of delivery until pickup is completed. This includes:

  • Preventing damage, theft, or unauthorized use of equipment
  • Ensuring equipment is in a safe and accessible location at all times
  • Not allowing unauthorized persons to operate AV equipment
  • Notifying us immediately of any damage or malfunction

Damage: Client will be charged the full replacement cost of any damaged, lost, or stolen equipment at current market value. A credit card on file may be required as a security deposit for high-value rentals.

6. Delivery, Setup & Pickup

Delivery times, setup windows, and pickup schedules will be confirmed in writing prior to the event. The client must ensure:

  • Safe and legal parking access for our team and vehicle
  • Clear access to the venue or setup location at the agreed time
  • A point of contact is available on-site during setup and breakdown
💰 Delays caused by the client or venue that result in overtime labor will be billed at $75 per hour per technician in 30-minute increments.

7. Force Majeure

AV Rental Miami LLC is not liable for failure to perform services due to circumstances beyond our reasonable control, including but not limited to: natural disasters, acts of God, severe weather, hurricanes, government restrictions, power outages, or other unforeseen events.

In such cases, we will work with you to reschedule at no additional charge, subject to availability.

8. Limitation of Liability

To the maximum extent permitted by law, AV Rental Miami LLC's total liability for any claims arising from our services shall not exceed the total amount paid by the client for the specific event in question.

We are not liable for indirect, incidental, or consequential damages including lost profits, lost business, or reputational harm.

9. Indemnification

You agree to indemnify, defend, and hold harmless AV Rental Miami LLC, its owners, employees, and contractors from any claims, damages, losses, or expenses (including legal fees) arising from:

  • Your use of our services
  • Your breach of these Terms
  • Damage to equipment caused by you or your guests

10. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Florida. Any disputes shall be resolved in the courts of Miami-Dade County, Florida.

11. Changes to These Terms

We reserve the right to update these Terms at any time. Changes will be posted on this page with an updated effective date. Continued use of our website or services after changes constitutes acceptance of the new Terms.
